Expressions, Inc. (hereinafter referred to as “the Company”) is engaged in business activities centered on translation, interpretation, voiceover narration, inbound tourism support, and management of accommodation facilities.
The Company shall protect any personal information obtained through business activities from customers, business partners, employees, applicants for employment, etc. (hereinafter collectively referred to as “personal information”) by complying with all relevant laws and regulations as well as the following basic policies. In addition, the Company shall strive to continuously improve the protection of personal information and fulfill our responsibility to comply with laws and regulations as a member of society.

1. Basic Policies on the Handling of Personal Information

The Company declares and observes the following policies regarding the handling of personal information:

  • The Company shall comply with the Personal Information Protection Law and related laws and regulations.
  • The Company shall clearly state in advance the purpose for which personal information is to be used, and shall acquire such information in an appropriate manner and only to the extent necessary.

2. “Personal Information” as Referred to in the Privacy Policy

“Personal information” as referred to in the Privacy Policy refers to information about an individual that can be used to personally identify that specific individual through name, date of birth, address, photography, etc. It also refers to information that can be used in combination with the above-mentioned information to identify an individual. Other information that may be used to personally identify an individual includes email addresses, usernames, places of employment, educational background, employment history, credit card information, facial recognition data, fingerprint recognition data, passport number, basic pension number, driver’s license number, and personal identification number.

3. Purpose of Use of Personal Information

  • Personal information obtained from customers:
    Used in implementation of and procedures related to execution, performance, settlement, management, communication, inquiries, etc., of work requested or entrusted by customers.
  • Personal information obtained through business partners (subcontractors, freelance contractors, etc.):
    Used in consideration, selection, communication, management, conclusion, performance, and settlement related to outsourced and jointly implemented Company business.
  • Personal information obtained from employees, applicants for employment, and interns:
    Used for labor management (including compensation and reimbursement), human resources, and benefits, as well as for interviews, company information session communication, and selection and management of applicants.

4. Security Measures

  • The Company establishes nondisclosure agreements with employees and contractors, and thoroughly protects and supervises their personal information.
  • The Company implements and updates security software and password encryption as needed to protect personal information from unauthorized access, alteration, destruction, leakage, and/or fraud.
  • The Company maintains proper and secure management of personal information in use, and destroys any personal information no longer needed after use, in a proper and secure manner
  • The Company performs thorough identification to protect against identity theft and/or fraud
  • The Company ensures safe and secure storage of any equipment taken outside Company premises

5. Disclosure of Personal Information

The Company shall not disclose any personal information obtained with the consent of the individual concerned to any third party without the prior consent of the individual concerned, except as required by law. Regarding disclosure of personal information entrusted to the Company by an individual, the Company shall ask the individual concerned to present documentation to verify personal identity, and as necessary, the Company shall confirm the identity of the individual by telephone and disclose the information in question without delay, in accordance with the law.

6. Provision of Personal Information to Third Parties and Joint Use

Only subcontractors who have signed a confidentiality agreement with the Company and consent to its use shall be provided with personal information obtained by the Company, and the Company shall impose upon such subcontractors the same standards of personal information protection required of the Company by its customers, and shall strictly supervise such subcontractors.

7. Procedures for Correction, Suspension of Use, etc. of Personal Information

When the Company receives a request from a customer to make a correction to or discontinue the use of said customer’s personal information, the Company shall respond to such request upon confirmation of the identity of the customer, in accordance with the law.

8. Disposal of Personal Information

When personal information is no longer necessary for the purpose(s) for which it was collected, the Company shall delete or dispose of such information in such manner as necessary and appropriate to prevent external leakage of such information.

9. Improvement and Review of Handling of Personal Information

The Company conducts inspections of its handling of personal information, management systems, and initiatives, and continuously improves and reviews these.
